Position: Logistics & Admin Assistant
Location: Maseru
The Alliance Française de Maseru (AFM), founded in 1981, is an association registered in Lesotho. Its missions are:
- To promote the teaching of French language in Lesotho;
- To organize cultural events and support artists in Lesotho;
- To maintain the Maseru Library.
The Board, elected by the association’s members, provides guidance, while the Director manages daily operations and implements the strategy developed jointly with the Board.
Description of the position:
Under the supervision of the Finance & Admin Officer and the Director, the Logistic & Admin Assistant supports administrative and logistical operations to ensure efficient office functioning. He assists in HR administration, procurement, and the maintenance of office resources.
CORE RESPONSIBILITIES:
MAINTENANCE AND LOGISTICS:
- Manage office supplies procurement and maintain stock control
- Maintain and update inventory and asset registers
- Request and compare quotations from suppliers to select the most suitable option
- Ensure safeguarding of office equipment and surroundings
- Managing the premises of AFM by identifying the need of maintenance and repair:
- Inspect premises weekly to identify maintenance and repair needs
- Report urgent issues immediately and coordinate timely repairs
- Conduct a monthly comprehensive review for long-term maintenance planning
RECEPTION/COORDINATION:
- Provide client assistance at reception in the receptionist’s absence
- Coordinate with the pedagogical and cultural team to support events
- Manage cleaning supplies and ensure office spaces are well-maintained
ADMINISTRATION & PROCUREMENT:
- Welcome and assist clients at reception
- Coordinate with the pedagogical and cultural team to support events

- Prepare purchase orders and quotations
- Insurance coverage updates and renewals
- Maintaining parking lists
- Supervising the house keeper
HUMAN RESOURCES:
- Assist with payroll preparation, tax (PAYE) calculations, and deductions
- Maintain and update employee records and leave balances
- Assist with processing leave applications and tracking balances
- Ensure HR policies are effectively communicated and implemented
EVENT & PROJECT COORDINATION:
- Support the Communication Officer by pasting AFM posters/banners
- Maintain and update the register of books borrowed by members
- Manage the Farmers Market project from A to Z, including planning, coordination, and execution
- Ensure technical services for events such as Cinema Night, ensuring sound, visual, and other technical requirements are met
- Collaborate with cultural and pedagogical teams to provide logistical and technical support for events
- Ensure smooth setup and operations during events, including managing equipment and technical support teams
